Switching Card Processors Without Losing Saved Cards

What do you lose when you change card processors?

Stored card credentials, usually. Card-on-file data is held as tokens that belong to the old processor, and those tokens do not travel. For a business running subscriptions, house accounts or saved cards for regulars, that is the single biggest item in the move and the one nobody mentions in the sales call.

Ask about token migration before anything else. Some processors will arrange it; others leave you re-collecting every card.

What else needs planning?

  • Recurring billing schedules, which have to be rebuilt and re-dated.
  • Chargeback handling for disputes raised against the old processor after you leave.
  • Final batch and reserve — funds can be held for a period after closure.
  • Gateway and shopping cart settings if you take payments online.
  • Accounting feeds that reconcile deposits automatically.

How long should the overlap be?

Keep both live for a full settlement cycle. Running the new processor while the old account is still open lets you catch refunds that need issuing against the original transaction, which is otherwise awkward and sometimes impossible.

How are refunds handled after the switch?

A refund normally has to go back through the processor that took the original payment. If that account is closed you are issuing cash, cheque or a fresh credit, none of which reconcile cleanly. This is the main argument for not closing the old account the moment the new one works.

Will the rate quoted be the rate you get?

Only if it is written as interchange-plus with a stated markup. A quoted blended or tiered rate is an estimate that depends on your card mix, and card mix shifts. Get the markup in writing and check it against your first full statement.

Does the hardware have to change?

Sometimes not. Terminals you own outright can occasionally be re-keyed to a new processor, which saves the hardware cost entirely. Always worth asking before accepting a new set.

What to do next

List everywhere a customer card is stored — recurring plans, saved cards, house accounts. If that list is long, make token migration a condition of the deal rather than a question you ask during the cutover.
